Getting Started
What is KinPass?
KinPass is a care coordination app built for families managing the health and daily needs of a child, an aging parent, or anyone else who relies on more than one caregiver. It keeps medications, allergies, routines, and behavior patterns in one place — so every caregiver, whether it's a parent, grandparent, babysitter, or professional aide, is working from the same accurate information.
KinPass also includes an AI care assistant that can answer questions about a child's care instantly, and pattern-detection tools that surface real trends in logged behavior over time.
Creating your account
There are two ways to get started with KinPass:
- 1As a household owner — download the app and sign up directly. You'll set up your household and create your first care profile.
- 2As a caregiver — you'll receive an email invitation from a household owner. Tap the link in that email to create your account and automatically join their household.
Email verification
After signing up, KinPass sends a verification email right away. You'll need to confirm it before you can use the app.
Don't see it? Check your spam or junk folder — verification emails occasionally land there, especially on the first send.
Once verified, you're automatically taken to the next step — creating your first care profile, or landing on your caregiver dashboard if you joined via invite.
Owner vs. caregiver accounts
Every KinPass household has exactly one owner — the person who created it. The owner has full control: creating and editing care profiles, managing all medical information, inviting and revoking caregivers, and syncing with MyChart.
A caregiver is anyone invited by the owner to help with day-to-day care. Caregivers can always view the information they're given access to and log daily activity, but — regardless of the access level they're given — they can never edit medical information, manage emergency contacts, or invite/revoke other caregivers. Creating your first care profile
Right after your account is set up, you'll be guided through creating your first care profile — the name, date of birth, and photo of the person you're coordinating care for. It takes under a minute, and you can add allergies, medications, and everything else afterward.
You'll also be given the option to create another profile right away if you're managing care for more than one person, or to invite your first caregiver.
Supported platforms
KinPass is available as a native app on both iOS and Android.
Care Profiles
Creating a care profile
From the Children tab, tap Add Care Profile. You'll enter:
- Name and date of birth
- An optional photo
- Condition tags — autism, ADHD, epilepsy, food allergies, and more
Everything else — medications, allergies, routines, emergency contacts — can be added right after, or anytime later from the profile's edit screen.
Editing a care profile
Tap Edit from any care profile to update its details across five tabs: Medical, Routine, Behavior, Emergency, and Caregivers.
Only the household owner (or a co-owner on the Family plan) can access the edit screen. Caregivers can view all of this information but never edit it.
Managing multiple children
Add as many care profiles as your plan allows. Switch between them from the Children tab, or use the household switcher if you're also a co-owner or caregiver in another household.
Condition tags
Tags appear as quick-reference badges right on the profile card, so anyone opening the app sees the most important context immediately — before they even open the full profile.
Medical Information
Adding allergies
From the Medical tab, tap the + next to Allergies. Record the allergen name, a severity level (Mild, Moderate, or Severe), and any notes — like where an EpiPen is kept, or what reaction to expect.
Adding medications
Tap the + next to Medications and enter the name, dose, and a plain-language schedule (like "Nightly at 8:00 PM"). You can also set specific reminder times — see Medication reminders below.
Medication reminders
When adding a medication, tap Add Reminder Time to set one or more specific times. KinPass will send a push notification to the household when each one is due — useful for twice-daily medications, not just once-a-day ones.
Medical conditions
Keep a running list of diagnosed conditions on the Medical tab. This is visible to anyone with access to the profile, giving every caregiver the same baseline understanding.
Doctors and specialists
Store the name, specialty, and phone number for every doctor involved in this child's care — pediatrician, specialists, therapists — all in one place a caregiver can reach in an emergency.
Who can edit medical information
Adding, editing, or removing anything on the Medical tab — allergies, medications, conditions, or doctors — is restricted to the household owner and any co-owners. This is enforced at every layer of the app, not just hidden in the interface.

Syncing with MyChart
KinPass can connect directly to a supported healthcare provider through MyChart, importing medications and allergies without manual entry.
- 1From the Medical tab, tap Sync with MyChart.
- 2Search for and select the child's healthcare provider.
- 3Log in through MyChart's secure authorization screen — KinPass never sees the login credentials directly.
- 4Confirm the patient record matches, then review and import.
MyChart syncing is available on Individual and Family plans, and is restricted to the household owner — a caregiver never sees this option.
Routine & Behavior
Meal schedule
Record typical meal times and any notes about preferences, restrictions, or things to avoid — helpful context for a caregiver preparing food for the first time.
Sleep schedule
Set bedtime, wake time, and nap schedule (if applicable) so every caregiver keeps the same routine, not just whoever happens to be around most often.
Activities and hygiene
Note recurring activities — therapy sessions, hobbies, weekly commitments — and any hygiene routines specific to this child, like sensory considerations around textures or sounds.
Behavioral triggers
List known triggers — loud or sudden noises, unexpected schedule changes, crowded spaces — so every caregiver can anticipate and avoid them, rather than learning the hard way.
Calming techniques
Record what actually, specifically works to help this child settle down — deep pressure hugs, noise-cancelling headphones, a particular toy — so every caregiver has the same playbook instead of guessing in the moment.
Communication style
Describe how this child communicates best, and how instructions should be phrased for them — full sentences, visual schedules, extra processing time, whatever applies.
Logging & Activity
Logging an update
Tap the green Add Update button from the home screen. Choose a category, optionally add a note (with quick-pick common phrases to speed things up), and save. It takes just a few seconds.
Log categories explained
Each category comes with quick-pick common notes — "Gave on time," "Ate everything," "Had a meltdown" — so most updates take one tap plus a save, not a paragraph of typing.
Behavior escalation alerts
When logging a Behavior entry, you can flag it as needing attention. Doing so immediately notifies the household owner and every caregiver with access to that child — not just whoever opens the app next.
Use this for anything a parent would genuinely want to know about right away — not routine day-to-day notes, which don't need to interrupt anyone.
Viewing activity history
Every logged update is saved to that child's Activity tab, giving anyone with access a full, chronological record — genuinely useful when reviewing patterns or preparing for a doctor's visit.
Caregivers & Roles
Inviting a caregiver
- 1From a care profile's Caregivers tab, tap Invite Caregiver.
- 2Enter their email address and choose an access role — see Caregiver roles explained below.
- 3If your household has more than one child, choose exactly which ones this caregiver can see.
- 4Send the invite — they'll receive an email with a link to create their account and join automatically.
Caregiver roles explained
Every caregiver is invited with one of three access levels:

No caregiver role — including Full Access — ever grants permission to edit medical information, manage emergency contacts, sync MyChart, or manage other caregivers. Those actions are always owner-only. See What caregivers cannot do.
Assigning specific children
If your household has more than one care profile, you choose exactly which children each caregiver can see when you send the invite — select specific profiles, or grant access to all of them. A caregiver scoped to one child has no visibility into another child's information at all, even within the same household.
Revoking caregiver access
From the Caregivers tab on any child's profile, tap a caregiver and choose Revoke Access. This takes effect immediately — they lose visibility into that household right away.
What caregivers cannot do
Regardless of role, a caregiver can never:
- Edit medications, allergies, conditions, or doctors
- Edit emergency contacts or a child's routine/behavior details
- Change a child's photo, name, or tags
- Sync or manage a MyChart connection
- Invite or revoke other caregivers
These restrictions exist by design, everywhere — not just hidden in the app's interface.
Temporary caregivers and bookings
A caregiver marked as temporary (rather than primary) only has access during their scheduled booking window, plus a short buffer of time before and after. Outside of that window, their access is automatically restricted — useful for occasional sitters rather than everyday caregivers.
Messages
How conversations work
A conversation in KinPass is a specific group of people talking about a specific child — not one giant thread shared by everyone who happens to have access to that child's profile. When you open Messages for a child, you'll see the conversations you're actually part of for them, not every message anyone's ever sent about them.
This means a caregiver only sees the conversation(s) they've actually been added to for a child — not every conversation happening about that child.
Starting a conversation
- 1From a child's Messages tab, tap New Chat.
- 2Choose who should be part of it — the household owner, a co-owner (Family plan), and any caregiver assigned to that child are all eligible.
- 3Start typing. If a conversation with that exact group already exists, you'll be taken to it instead of a new, duplicate thread.
Multiple conversations per child
A single child can have more than one active conversation — for example, one with just their primary caregiver, and a separate one that also includes a co-parent. Each conversation only includes the people you specifically added to it.
If there's no one to message yet
If a child doesn't have any caregivers or co-owners attached yet, there's no one to start a conversation with — you'll see a prompt to invite someone instead of an empty message box. See Inviting a caregiver or Inviting a co-owner.
Muting a conversation
Open a conversation, tap the ⋮ menu in the top right, and choose Mute Conversation. You'll stop getting push notifications for that specific thread — messages still arrive and are still visible whenever you open it.
Clearing a conversation
Clearing a conversation from the ⋮ menu removes it from your own view only. It does not delete anything — every other participant still sees the full history, which matters for keeping an accountable record between caregivers.
AI Care Assistant
What the AI assistant does
The AI assistant has access to a child's complete care profile — medications, allergies, routines, behavior notes, and recent activity history. Ask it a question and it draws on all of that to give a specific, accurate answer, instead of you scrolling through tabs looking for it yourself.
What you can ask
Generating a handoff report
Before a shift change or a new caregiver's first visit, generate an AI-written handoff summary covering the most important current information. See the full Handoff Reports section for how to share it.
Care insights and pattern detection
KinPass analyzes logged activity over time to surface real, non-obvious patterns — for example, that difficult behavior tends to cluster on specific days, or correlates with a skipped nap. This turns weeks of scattered logs into something genuinely actionable, not just a record nobody has time to review by hand.
Handoff Reports
Posting a handoff to a caregiver
After generating a handoff report, you can post it directly to a caregiver's dashboard instead of only sharing it externally.
- If exactly one caregiver has access to that child, it posts to them directly — no extra steps.
- If more than one caregiver has access, you'll choose exactly who it's for from a checklist before posting.
- If no caregivers are assigned yet, you'll see a note instead of a button — nothing to post to yet.
Viewing a posted handoff (caregiver)
A caregiver who's been sent a report sees a "Handoff report ready" badge right under that child's card on their dashboard. Tapping it opens the full report — the AI-written summary plus quick-reference allergies, medications, and emergency contacts, all in one place before a shift begins.
Notifications
Medication reminder notifications
If a medication has a reminder time set, KinPass sends a push notification to the household when it's due. See Medication reminders for how to set one up.
Message notifications
When someone sends a message in a conversation you're part of, you get a push notification — unless you've muted that specific conversation. See Muting a conversation.
Behavior escalation notifications
The household owner and any caregivers with access to that child are notified immediately when a behavior log entry is flagged as needing attention — see Behavior escalation alerts.
Daily recap notifications
Each morning, KinPass sends a brief recap of the previous day's logged activity for every child in your care — a quick way to catch up without opening the app and scrolling through the full history.
Family & Co-Owners
What the Family plan includes
The Family plan adds co-owners — typically a second parent or guardian — who share full, equal management rights over the household, alongside everything included on the Individual plan.
Co-owner vs. caregiver
This distinction matters, and it's easy to conflate:

A co-owner has the exact same rights as the original owner. A caregiver, even at the "Full Access" role, never does.
Inviting a co-owner
From household Settings, invite a co-owner by email — available on the Family plan. They'll receive an invitation to join with full owner-level access to the household.
Plans & Billing
Plan comparison
KinPass offers Free, Individual, and Family plans, each unlocking more care profiles and features. For current pricing, see the Pricing page — it's kept up to date there rather than duplicated here.
Upgrading your plan
From Settings → Subscription, choose Individual or Family. Your new plan is active immediately after payment, through the App Store or Play Store.
Managing your subscription
Since KinPass subscriptions are purchased through the App Store or Play Store, they're also managed there — cancellations, payment method updates, and receipts all go through your Apple or Google account, not directly through KinPass.
Account & Security
Profile and child photos
Add a photo to your own account from Settings, and to each care profile from its edit screen. Only the owner or a co-owner can update a child's photo.
Emergency access
The Emergency Access screen shows every child's critical information — allergies, medications, emergency contacts — instantly, without navigating through tabs. Every use is logged, so there's always a record of who viewed it and when.
How your data is protected
Care and medical data is encrypted and access-controlled so that only people you've explicitly invited — and only at the access level you've chosen — can see it. Medical information specifically is gated separately from general profile data, with editing restricted to the household owner regardless of any caregiver's assigned role.
